Book for the active windows, not the whole program

A debut program has long stretches where nobody touches the booth, because everyone is watching the 18 roses, the 18 candles, the cotillion, and the speeches. The booth still runs, it just sits quiet while the program is on.

Guests use it in three windows: cocktail hour before the program, the gaps during dinner, and the stretch after the formal program ends. That last window is where the best strips of the night come from, once everyone has eaten and loosened up.

So plan your hours around those windows. A booth that opens for cocktails and stays open past the program covers the real usage, even if the booked hours do not cover the full event from ingress to last song.

Confirm what is included before you compare quotes

The overlay is the design printed on every strip: your name, your date, and a layout that matches your debut motif. It shows up in every single photo your guests take home, so a mismatch is very visible.

A small thing that helps

Decide where the booth goes before the event, not on the night. A 2 by 3 meter spot that guests walk past naturally, near the main floor rather than the back corner, gets used far more. Tell your coordinator to keep that corner clear for ingress.

Get these answers in writing from any vendor before you commit:

  • How many hours, and what does an extra hour cost?
  • Are sessions and prints unlimited for the booked time?
  • Is the custom overlay (your debut name and motif) included?
  • Are the attendant, setup, and teardown part of the price?
  • Is there a mobilization fee to my venue, and how much is the deposit?

A vendor who answers all five clearly is one you can compare honestly. Vague answers usually become line items later.

Book early

Debut dates book 4 to 6 weeks out, and faster during debut season. If your date is set, lock the booth with the deposit once the package fits your program. Sorting the booth early is one less vendor to chase in the final weeks.
